Access Legal Systems has more than twenty years experience in software for the legal profession. They provide a comprehensive range of application products, built around a single SQL database and comprising the following modules: Practice and Client Database, Legal Accounting and Time Recording, Time Capture and Case Management. To support these applications they offer a full installation, training and ongoing software service programme. There is now also a web-based interface available which allows clients and fee-earners alike to interact with the system over the internet. They have a substantial user base in the UK and abroad with solicitors' practices throughout England and Wales and with a significant presence in the Gulf States and in Hong Kong. Many of these clients have used the Access products for more than fifteen years and several of the earlier practices have been clients for more than twenty years. This has been made possible by the company philosophy of always enabling clients to migrate to the latest technology platforms without any loss of data.

Acorn Legal provides a legal accounts bureau service aimed primarily at sole practitioners and smaller firms. The practice does not need to employ a cashier, purchase software or undergo training. A fixed monthly fee covers all accounts postings and regular reporting. Additional services are available including web access for client enquiries, time recording and custom reports. After the initial set-up the firm simply provides Acorn Legal with details of each transaction and these are then posted to the accounts. A number of options are available which dictate the level of service provided starting from the minimum that satisfies the Solicitors' Accounts rules, with much more complex management reporting also available. The options are agreed at the outset but may be reviewed at any stage. Acorn Legal will keep all necessary records so as to prepare the firm's VAT returns and will liase with its accountants when preparing the end of year accounts. For growing firms Acorn Legal provides specialist IT Consultancy, ensuring that advice on networking, hardware and software is correct and impartial.

Axxia Systems Limited has a long history in the legal market through its earlier incarnations as Kienzle, Mannesmann Kienzle and then Digital Kienzle. Now an independent company owned by directors and staff, Axxia has a 25% share of the market of the top 300 firms with its Unix-based software, Arista and Windows based system, Artiion. However, it also has 225 firms outside of the top 300, demonstrating its cross-market appeal. Aside from the UK, Axxia has built a dominant share in Ireland, where it has 50% of the top 20 firms. Turnover is around 10 million and there are 100 staff. User groups operate throughout the UK and Ireland, meeting at both regional and national level on a regular basis. Perhaps because of the many medium to large size firms amongst the user base, Axxia has a particularly strong set of facilities in accounting provision and reporting. All the systems use Informix as the data base (Informix Dynamic Server for the Windows systems), which means that the Fee-earner Desktop Systems originally developed for Arista (to give a Windows "front end" to Arista) can also be used for the newer systems. The new systems are written in the Delphi programming language. There is case management software which is fully integrated with the Practice Management System (PMS) and works from the same database. Standard Workflows are supplied to aid implementation for particular work types ( eg conveyancing, personal injury). In addition, Axxia has taken the functionality of Case Manager and made it available with simplistic workflows - this is Matter Management, which enables firms to manage electronic files for every case/matter within the practice. In excess of twenty firms now have this facility throughout. Case Manager and electronic Time Recording are also available on a completely stand-alone basis, meaning firms can immediately gain Desktop and Case Manager benefits without having to change their accounting systems. This stand-alone facility is particularly attractive to smaller firms and the local authority market. Similarly, the Eiion Windows accounts package has been designed specifically for firms with fewer than 30 users and it also has the benefits of the same desktop software as Arista and Artiion. There is a new Personal Knowledge Centre browser application and several e-business products: e-Case, e-Tran and e-Sync. These provide online case tracking, automatic case inception and automated data exchange capabilities.

In addition to the library software, Bailey Solutions offers customised software for other tasks in legal organisations, including file management, archiving and tracking systems and databases to meet specific client requirements.

Based in Edinburgh and London, Capsoft UK has won several awards, both in the US and UK. There is a demonstration of this on the Capsoft site.

The system provides full integration with the Internet for obtaining new business, as well as enabling clients and other parties secure access to view the progress of their case online 24/7. The quotation module produces quotations quickly and efficiently and the case management system allows the conveyancer to view the progress of cases as well as being able to automatically assemble communication documents, generate forms and access the NLIS via Searchflow, TM Property and Transaction-Online. The system can check its own database daily and carry out the tasks of producing the forms and communications that are due automatically and autonomously if the user wishes. The system user interface is highly intuitive meaning that training requirements are minimal. Free demonstrations of the systems can be arranged and the products are available for a free evaluation period. Systems can be purchased outright or leased if preferred.

DPS Software plc, based in Enfield, Middlesex, has been one of the leading suppliers of case management software for many years, with over 800 users. There is now also an accounts system called DPS Cashier which integrates fully with the case management. Their latest offering is a Digital Dictation management system called TeamTalk. All applications are fully integrated, working from a single common database, so data is only entered once and is thereafter available for all applications. Their One Office system can also use TFB, Elite, Civica or any other SQL based accounts systems as their 'home' client and matter databases. The case management software assembles documents, forms and letters and tracks fee earner 'to do' lists. In the background the system also tracks all the work that individuals have done (or had done for them) in any one day. This can then be reviewed and electronically approved. The system automatically costs all actions taken and prompts fee-earners when time is likely to have been used, e.g. in a court appearance. Time can also be recorded using on-screen clocks or after the event. There are modules for conveyancing, criminal billing and franchising, matrimonial, general litigation support and personal injury. Matter history can be published live to the web and can be viewed by clients and work providers using passwords. Their dictation module TeamTalk integrates straight into the case management system. Fee earners can create letters then dictate amendments or whole sections of body text. The voice recording along with the partial letter is then delivered to the secretaries for transcription. All jobs are tracked in both the dictation and case management and all workflows are fully user definable. The DPS case management "One Office" is the first case management system to be certified as PISCES compliant.
Extra information DPS have launched a new case and matter management system operating entirely within Microsoft Outlook, with which most lawyers are already entirely familiar. As they check their email, they can also preview their cases and documents and indeed open new cases. The software combines case management with the phone, digital dictation, task, web and text messaging services, legal accounts and document assembly. DPS software can be run remotely, (Software as a Service) and DPS are encouraging this type of operation for smaller and medium sized firms in particular, since it reduces the IT burden for the firm concerned.
