Chartahouse is a firm of Licensed Conveyancers with offices in Plymouth and Southampton. Our case management supplier is Easy Convey. The products we utilise are:

* CASA (the core management software which we use to work on our conveyancing files)

* Track-A-Matter (on-line web updating service to clients and other third parties and SMS updates) and

* On-line L@wyer Instruction service (on-line estimate and instruction service).

All three products can be integrated to supply a seamless service to the client.

We have been using the case management software for 3 years. This is run on our own premises. To operate the case tracking, however, we upload data to the Easy Convey site where the online case tracking for clients is based. The data is sent (in encrypted form) every hour from 07:20 to 19.20 and includes the client name, the property address, the workflow stages and the dates on which the stages have been completed. The client logs onto our own site but is then transferred to the Easy Convey site where he/she enters the user number and password and the report is provided. There is an example on our site of how a typical report would look. An alternative method of updating the client via Text Messaging (SMS) will be available shortly.

Currently all sale and purchase (freehold and leasehold) files are uploaded to Track-A-Matter as well as selected remortgage files. The system is currently used by individual clients, estate agents and referrers.

All issues of security are handled by Easy Convey. The pricing includes this and the costs are reasonable - £5 a matter however many times it is accessed. We have a moderate level of IT experience in the firm but not a great deal of expertise is in fact required to run this system, partly at least because all the “difficult” bits (in particular, running a web server and ensuring that the system is secure) are handled by Easy Convey. There is also a support line available for when we need it.

We find the system very reliable and also cost effective. Easy Convey was one of the finalists in the 2003 Society for Computers & Law Award for the most outstanding application of IT to the Law in the UK and Ireland.
